Guide ยท Pricing

What does concierge software cost in the UK?

Most vendors hide the price behind a demo call. Here is the honest 2026 picture — the pricing models, what they actually cost a staffed building, and the contract traps to watch for.

Disclosure: this guide is published by ConciergeDeck. Pricing ranges are from public vendor information, August 2026; check with vendors before deciding.

The pricing models

Three ways UK vendors charge.

Concierge and front-desk software in the UK is priced in three broad ways. Which model fits depends on how the building is staffed and who is paying.

ModelTypical rangeWho it suitsWatch out for
Per building / per site£50–£150/monthStaffed desks; managing agents standardising across blocksDevice limits and included resident emails
Per apartment / unit£0.30–£1.00/unit/monthLarge portfolios; per-unit service chargesYou pay for empty flats, storage units and voids
Per device / per login£10–£40/device/monthSingle desks, low volumeCost grows with every shift device you add

The contract traps

Where the quoted price stops being the price.

Ask each vendor to price the whole picture, not the headline licence. Hardware is the biggest hidden line — key cabinets and lockers run into the thousands per building. Onboarding fees, per-device charges and resident-email volume caps are the next most common additions, and annual uplift clauses quietly add 5–10% every renewal.

  • Hardware

Cabinets and lockers are capital cost; a staffed desk rarely needs them.

  • Onboarding

Some vendors charge setup separately — ask what is included.

  • Uplift clauses

Ask for the contractual price-increase cap in writing.

  • Notice period

Annual contracts with 90-day notice lock you in; monthly billing keeps leverage.

An example

What a 120-apartment block actually pays.

A 120-apartment BTR block with a staffed desk: per-apartment pricing at £0.50/unit lands at £60/month — before the hardware the vendor pushes alongside. ConciergeDeck’s Professional plan is £129/month for up to ten sites, which covers a building that size with room for the portfolio to grow. The difference is predictable: fixed per-building pricing you can budget for, no per-empty-flat meter.

Common questions

Questions about concierge software pricing.

Why is so much concierge software priced per apartment?

Vendors that grew in US multifamily price per unit because residents are the served population. For a staffed UK block this charges you for empty flats and storage units. Per-building or per-site pricing tracks the actual cost: the desk, the devices and the service.

What does a typical UK concierge software contract include?

The licence, device apps and updates, support, and usually resident email notifications. Watch for separate line items: hardware (cabinets, lockers, scanners), per-device fees, onboarding fees, and annual uplift clauses.

Are there free trials?

ConciergeDeck offers a 30-day trial for eligible new subscriptions. Some competitors offer free tiers with parcel-volume limits, which suit low-volume buildings but cap out as volumes grow.

How do I compare quotes fairly?

Normalise everything to cost per building per month including hardware amortisation, then ask each vendor for: number of sites, devices allowed, resident emails included, onboarding fees, contract length and notice period, and annual price increases.

Is hotel concierge software cheaper?

Hotel platforms are priced per guest room and per feature module, and are built for transient guests. For a residential desk they cost more and still leave parcels, keys and the visitor book out of scope.
