Information processed
Company account information can include owner name, business email, company name, sites, subscription state, and registered devices. Parcel operations can include resident name, unit or address, email when supplied, parcel details, intake and release times, staff profile, handover method, and signature. Key Desk records can include a key or fob label, purpose, holder or recipient, hand-in and hand-out times, and staff profile.
ConciergeDeck also processes service logs, authentication events, support messages, and billing references. Payment card details are entered into the payment provider's secure form and are not stored by ConciergeDeck.
Why information is used
Information is used to authenticate users, provide parcel intake, key or fob custody and handover, maintain audit records, apply plan limits, send requested company notices, support customers, prevent abuse, and meet contractual and legal obligations.
Resident parcel email is optional and controlled per site. Company verification, password reset, billing, and security notices are separate owner-account communications.
Retention and deletion
For Cloud subscriptions, ConciergeDeck schedules the live synchronized copy of resident, parcel, key or fob custody, staff profile, release evidence, and operational audit data for deletion 30 days after Cloud access ends. Restoring Cloud access before that deadline cancels the scheduled deletion.
An owner can permanently delete the company account from the owner dashboard after confirming the company name and current password. Account deletion ends subscription billing and removes the company's ConciergeDeck-hosted account, site, device, authentication, email-delivery, resident, parcel, key or fob custody, release, and audit content. A pseudonymous deletion event is retained for security accountability. Payment or invoice records retained by the payment provider, copies already held on customer-controlled devices, and copies still moving through infrastructure backup expiry are handled separately under applicable operational and legal obligations.

Residents should first contact their building operator because that organisation controls the operational records created for its site. Owners and other account users can contact privacy@conciergedeck.com for access, correction, deletion, restriction, portability, or objection requests where applicable.
